Minutes of the Meeting 1. Sankalp Website a. Kavitha is designing the website b. Need to have project information: a brief description of the projct and the progress c. Needs more pictures d. Need a generic contact email (maybe a gmail account one for projects and fundraising) e. Password protected area for uploading project documents f. Annual report/newsletter link on the homepage g. Links to Sankalp’s community service/involvement 2. SCORD a. Misha provided an update on the project b. Discussion questions: c. What are they doing to popularize the project to have more than the current nine children? d. What challenges have they faced so far? e. Are the volunteer salaries from Sankalp funds? f. Ask for an audit report? g. How many children in that area are disabled? h. How did they advertise the project? What were their means? i. What are their transportation charges? How much does it cost the families/NGO? j. Need to comment on the nutrition aspects of the children and the assignment of the cook k. What sort of skills and training are provided? Specify. 3. 1. Jaikishan introduced Kartavya project URL: http://www.kartavya.org/ a. Supported by Indian School of Mines (ISM) students b. Helping 340 students from lower social strata with curricular education, such as procuring admission, night library service, computer teaching c. Centers in ISM, NIT, Durgapur, NIT, Jamshedpur, and NIFT, Ranchi 2. Younkers a. Visu provided an overview of Younkers b. We have told Younkers that we are interested c. Jaikishan has volunteered d. Previous year’s coordinators need to be contacted 3. Football Volunteering a. Currently we have 16 volunteers; more needed b. PERMAR complimented volunteers on being properly dressed (white shirt, black trousers, black shoes) 4. SCORD a. Atul provided a general overview of the project progress b. Misha provided an update on the SCORD project c. Discussion of SCORD’s feedback process d. Issue raised that SCORD is predominantly not a self sustaining project e. Only 3 children have availed benefits from the project as compared to 25 children originally proposed f. Ask SCORD to increase the number of beneficiaries g. First need is to send a mail based on the questions we have regarding the progress of the project and understand why there is a low number of participants h. Second need is to have a telephone conference call with the project coordinator and discuss the project’s progress i. Need to contact Muthu to get more details on the second reply j. Explain accessibility on the site in the rainy season c. Conference call Agenda: to know the person and touch base d. 1. Discussion on Secretary post a. Potential candidate not present b. Decision postponed until later c. Secretary post to include archiving, CLI, and inventory
2. Fresher’s party a. Presentation by Abhijit (talk about signing up for email list, football volunteering) b. Pizza n Pop will be provided, logistics discussed c. Estimated people: 40 d. Schedule: 5:15 – presentation, 5:30-6:30 – games, 6:30-7:00 – wrap-up Fresher’s party went on well, and was well attended.
3. CDS Discussion a. Have they asked for extra money? They haven’t b. Money requested in rupees: Keep track of exchange c. Questions: i. What do they plan to do in the next few months? Can they give us specific/ revised timeline? ii. Do they foresee any hindrances in the next level/ does it affect their quality of work due to the climactic conditions? iii.What happens now to the worksite due to the rains? Can they specifically explain the location of the well and the pump and how their accessibility will be affected by the rains? iv. Can they provide us with an audit report? (Members decided that the next installment is not conditional upon sending us the audit report, but the third installment is) v. Do they have a deadline for getting the second installment? vi. How deep is the well? (Question out of curiosity!)
d. Setting up a conference call with the NGO: Neeraj has volunteered for setting up the call. Neeraj needs telephone number (any of the weekday nights) e. Prof. Rahul Marathe’s friend in Orissa is the point of contact. Rahul’s friend has now moved to Gujarat. We are in the process of finding another person who can get us an independent feedback. f. Decision for funding should be made after they have completed a few more steps rather than scrutinize each step g. Send project report to all Sankalp patrons, especially Daawat invitees. KK has the list of Daawat attendees.
Sankalp emailed last week Mr. Tripathy who is the executive director of CDS Orissa. These are the answers he provided for the questions Sankalp members raised during the meeting.
Q#1 What do you plan to do in the next few months? Can you give us specific/ revised timeline?
A: We are planning to install the pump-set & lay pipes within next 3 months. A tentative time schedule for the work has been planned as follows:
Quotation 10 days Purchase Order & Supply 15 days Pipe line Marking 5 days Excavation 15 days Installation of Pump-set &Fitting of Pipes 15 days
Q#2 Do you foresee any hindrances in the next level?
A: We don’t foresee any hindrances in the next level.
Q#3 Does the quality of work gets affected due to the climactic conditions?
A: No, the quality of work doesn’t affected due to the climatic conditions.
Q#4 What happens to the worksite due to the rains? Can you specifically explain the location of the well and the pump and how their accessibility will be affected by the rains?
A: The site becomes muddy due to rain and it is difficult to work. There is no permanent road to the site & the materials were transported to the site through some of the agricultural lands. Due to rain the temporary road becomes muddy & transport is difficult. The site is accessible only by walking ½ KM distance to the site. The location of Intake-well is inside the village nallah where rain- water comes from the upper-side & the Pump-house is located over the bank. We will send some photographs which will make you more clear by next week.
Q#5 Do you have a deadline for getting the second installment?
A: Although we have no deadline for getting the second installment but it will be better, if we can get it at the earliest. We had submitted the progress report in which the financial status has been given. The available balance for the work was only Rs.56121/- in which only a pump-set can be purchased. That is why we need the 2nd installment to take-up the planned activities.
Q#6 How deep is the well?
A: The depth of the well is 8m from the level of pump & 6m from the bottom level of the nallah.

Discussion on improvement
Elbert: Volunteers can be asked for money (other than time). Pledge forms are there already. Hari: Website development. It's upto date now. Football schedule can be put on website. For getting volunteers email personally or use Orkut. Elbert: Vellareddy wants to start a coaching centre for SAT and Med schools. Volunteer needs to commit for a month atleast and should be well prepared. Babysitting: A movie or presntation on plight of Indian villages. Deepak: More talks and presentations Muthu: Better evaluation of feedback from projects Deepak: Bring in professors who are doing social service on their own Muthu: Archiving Vasanth: Do we need CC drive? Members felt that it's ok to have it.
Academic orientation on Saturday (August 18, 2007) - Went OK. Few freshers turned up. Sankalp members were present until 5:15 PM. Pop and cookies were served.

Where: 1134 Sweeney hall When: 5:15pm Date: July 13, 2007
1. Picnic Update: Logistics, fooding and games were discussed during the meeting.
The picnic went on well, 25 people attended the picnic. We started out with football throwing tournament that continued for almost an hour and Visu and Elbert won the tournament. Next was three legged race which was another visual delight watching people fall , run, strides and doing all sorts of things. Although all the participants did an excellent job in three legged race, however, Vasanth and Puvi's strategy made the three legged race look almost like a 2-legged race resulting in grabbing the trophy. It was fun watching how Neeraj's team literally smoldered the other team in Tug-O-War - although the losing team cried foul but the best of 3 clearly showed the prowess of Neeraj's gang. There was no point in going for a best of five after losing best of three, coz it would've hardly changed anything. The other team was way too powerful to overcome. Finally, the much awaited volleyball game started after a short water-melon break. All the four teams Oakers, Raiders, Boosters and Racers played with full spirit and there was no dearth of splendid performances by most of the players.The finals b/w Boosters and Oakers exhibited some spectacular performances by both the teams, and ultimately the Boosters came out to grab the trophy of the highly prized tournament. There was a small time prize distribution ceremony along w/ snaps of the winners of games taken by our newly appointed official photographer. To all those who might have gotten some physical discomfort while playing games, I wish you a speedy recuperation. Special thanks to the game organizers Neeraj, Aniket and Visu for ensuring the games went on smoothly and happily.
2. CC drive:
It was decided that the CC drive will be conducted in the weekend of July 20th. The drive was conducted on July 22nd and sankalp received a lot of cans and coins that have to be redeemed.
3. Iowa speedway:
Eight volunteers went for the speedway event to Newton. Altogether we made roughly $550. Thanks to all the volunteers for their courage in leaving bed at 7am and that too on Sunday.
